The more artificial intelligence develops, the more likely our jobs will be replaced by robots in the future. However, according to experts' selection of "the most unlikely jobs to be replaced," one of them is the administration of a company, because it requires a lot of communication with humans, and robots cannot do it.

Traditionally, the executive department is the support arm of the company, but ONES, as an innovative technology company, positions the executive department as one of the hubs for strategy execution. Liu Nannan is the "new star human" of this new type of administrative department.

The following is her story with ONES.

In the past three years as an administrator at ONES, almost every project is full of uncertainties and variables, which test my ability to adapt again and again.

Driven by the orderly and efficient working style of the administrative department, I fully realized the importance of "planning" and the meaning of "everything in advance" - as the old saying goes: "Everything is foreshadowed, and no Foreshadowing is obsolete."

A plan has two basic functions: planning and memo. "Planning" is an effective path to develop a goal; "Memo" can help you to execute clearly and fully.

In the book "The Seven Habits of Highly Effective People", there is a saying:

"Everything is first conceived in the mind, which is the first intellectual creation, and then put into practice, which is the second physical creation."

Therefore, the so-called "planning" is the process of first creating in the mind the goals and paths to be achieved in the future.

Next, I have to put the plan in my head on paper, which is visualization. Our ONES company is a software R&D management tool. Therefore, our administrative department should also learn to use tools for planning management and cultivate the thinking of project management.

Now, we plan on a project-by-project basis, and there are two basic actions: splitting subprojects and setting deadlines.

The purpose of splitting sub-projects is to make a complex project clear and feasible, and after sub-projects are split, set deadlines for each sub-project.

At the same time, write down the stakeholders of this task or project in the "plan", and set progress reminders.


Executive Department's "Annual Meeting Preparation" Checklist

I am the main person in charge of the ONES annual meeting every year. At the beginning of this year, I continued to be in charge of the preparations for the ONES annual meeting. I first divided this matter according to the content and attributes of the project into: venue selection, venue construction, program arrangement, prize material procurement, etc.

At the same time, I also split the project according to the stage attributes, including: before the annual meeting, during the annual meeting, follow-up finishing work, etc.

My experience is that it is more efficient to turn projects into parallel, i.e. several projects at the same time, than to make projects into serial, i.e. projects one by one.

After we had set the venue and planned the details, a week before the annual meeting, a sudden outbreak of the epidemic in Shenzhen caused the entire administrative department to be in a hurry.

But fortunately, we made preparations with both hands and quickly put all our energy on the alternative plan, and completed the docking of suppliers and the transfer of venues within a week to minimize losses.

At that time, considering that it was inconvenient for our colleagues to do nucleic acid, and there was the possibility of cross-infection, and many colleagues from other places came to Shenzhen, we arranged for 4 consecutive days of door-to-door nucleic acid, so that every colleague could participate in the annual meeting with peace of mind. .

There is an extreme saying: apart from overtime and pay cuts, the word that workers do not want to hear may be "team building".

Before, talk show actor Li Xueqin had a classic rant: "The thing I hate most in my life is group activities. I'm always forced to participate in some group activities that don't look lonely, but it doesn't ease my inner loneliness."

So much so that some people say: good team building can enhance the feelings of colleagues, and bad team building may get a resignation letter the next morning.

I am mainly responsible for the organization of ONES's multiple team building in recent years. So I can't screw up and get my colleagues to really like team building.

From the company's point of view, it is clear that they spent money, racked their brains, and organized food, drink, and entertainment for their employees. Why are the employees not happy?

In fact, the first difficulty of team building is that it destroys the subtle sense of distance between colleagues. I have heard of the "Hedgehog Theory" in management: hedgehogs will snuggle up to keep each other warm when it's cold, but at the same time they will keep a certain distance so as not to stab each other.

I found that coworkers were originally working partnerships, but if the distance between each other was narrowed in physical space, the forced intimacy would break the original balance and make people more embarrassed.

My understanding of team building has come in handy in practice. At the end of 2019, we plan to organize a large-scale group building - a four-day, three-night trip to Haikou. When I first received this assignment, I was very excited because it was an area of interest to me.

But things are not as simple as I thought, and it is not easy to organize a team building of more than 100 people. First of all, it is difficult to choose a destination, whether to go to an island, a mountain or a city; secondly, to plan the overall itinerary, transportation and accommodation, materials, photography, meeting construction, emergency plans... I need to cover all aspects and matters. No matter how small or small, every colleague is guaranteed a safe and happy end of the journey.

What made me gratified was that during the few days in Haikou, as long as the meeting time was stipulated, my colleagues were very cooperative, there was no late arrival, and the concept of time was very strong.

During the trip, we do almost everything big and small, but I enjoy it. With the help of previous experience in travel strategy, it is not difficult for me to choose a good hotel and a good restaurant. After each project is completed, seeing everyone's satisfied smiles and the approval of the circle of friends, all the hard work and hard work are worth it.

In life, I like to travel, to enjoy the scenery outside, to slow down, to love life, and to feel the surprises brought by the unknown. Before each trip, I like to do a detailed guide in advance, including every restaurant I want to eat, every shop I want to visit, and every attraction I want to visit. This arrangement gives me a sense of security, and I can enjoy the journey without distractions and face the unknown.
